Rehiring a former employee

If you are rehiring a former employee whose profile was previously entered in PayFit, you can easily rehire them and have their personal information pre-filled.

Where should I go to rehire an employee at PayFit?

To do so, you should go to My employees page and click on Add

an employee and from the drop-down, choose the Rehire an employee option. This allows you to add a new contract with an existing employee or one who has previously worked for your company.

How to rehire a former employee?

  1. Select the former employee you wish to rehire from the list. Their personal information will be pre-filled.

  2. For your new contract, you can choose to enter the information manually or pre-fill it in from a previous contract. With the "pre-filled" option, you only need to review and confirm it.

  3. The following steps are identical to those of a standard hiring process. Fill in the contract information and submit. In both cases, the admin will still go through the standard steps to fill in or review the information before finalising.

How does the pre-filled option work?

As part of the feature, we are also introducing the ability to pre-fill contractual information from an existing contract. That source could be either:

  • The rehired employee’s previous contract, or

  • Another employee’s current contract.

Important distinction:

  • Personal Vs. Contract info are two different concepts. The employee's personal information will be one of the rehired employee in order to avoid retyping, but admins can choose to pre-fill the contract details from another employee's contract if they match the rehired contract.

    The “contract pre-fill” option is also available for hiring a brand‑new employee.
    For example, as an admin hiring a new person, Juliette, I’ll enter her personal details, and if she will have the same role as Jane, I can pre-fill her contract information based on Jane's contract.

FAQ

Why do I need to change the HMRC ID?

If you rehire an employee, it is mandatory to change their HMRC ID. A rehired employee should not be reported under the same ID to avoid duplicated records and discrepancies under the HMRC portals.

How does the rehired feature work with the HR integration?

Payfit does not see or sync rehired employees via the HR integration, so the process will remain the same. The employee will need to be rehired in Payfit or manually set up again and then the integration will match against the HR integration during the overnight sync if all the employee's information is the same via both systems.

What will happen to the employee's personal space?

A new space will be created as soon as the invite is issued. The employee can keep the same email address but will need to switch between accounts.
