What is PayFit Copilot?

PayFit Copilot is an AI-powered tool based on our Help Centre documentation, HMRC guidance and your company's specific data. This virtual agent is available 24/7 and responds instantly to your questions about payroll, HR management and the use of PayFit’s platform. Think of it as a personal guide that provides:

  • Immediate answers to questions directly in your PayFit app or from the Help Centre.

  • Personalised answers based on your company information, meaning Copilot understands your setup, settings and data to provide accurate, case-specific guidance such as your employee records.

  • Step-by-step navigation to features or settings you’re looking for.

  • In-depth explanations on payroll terms and procedures to help you understand the platform better.

How to Access PayFit Copilot?

You can access PayFit Copilot in multiple places:

  1. From the PayFit Dashboard: Simply click on the PayFit Copilot icon to start a conversation.

  2. In the Help Centre: Use the search bar to ask your question or find specific guidance.

  3. Directly in the search bar: Type your question, and PayFit Copilot will jump in to help.

Tips for Using PayFit Copilot Effectively

To get the most out of PayFit Copilot, here are some tips on using it to its fullest potential:


1. Ask Clear, Specific Questions

  • Instead of general questions, try being specific. For example, ask “How do I set up a new employee in payroll?” Rather than “Help with payroll.”

For your privacy, please do not enter any personal details such as bank information. PayFit Copilot is here to help without needing additional personal data than the one available in the app.

2. Ask One Question at a Time

  • PayFit Copilot will struggle to provide support if your message contains several requests that are not related to each other.

3. Write your question naturally, as if you would ask it to a colleague.

  • PayFit Copilot is designed to understand conversational language. Feel free to type naturally, as if you’re speaking with a colleague.

    Example: “I’m looking to generate reports for the last quarter” or “Can you help me find the payroll settings?”

    Note: With PayFit Copilot, you can have discussions. Feel free to ask new questions along the way, ask that answers get rephrased or specified.

4. Learn About Payroll Concepts

  • PayFit Copilot isn’t just about navigating the platform. It can also give you explanations of payroll terminology and processes.

  • Ask questions like “What are Benefits in Kind?” Or “How does Statutory Sick Pay work?” To get concise, understandable answers.

5. Get Step-by-Step Instructions

  • If you’re completing a task with multiple steps, PayFit Copilot can guide you through each one.

    You could try prompts like “How do I add a new pension provider?” And PayFit Copilot will walk you through each step.

6. Explore Feature Navigation

  • Unsure where a certain feature is? Just ask PayFit Copilot! It can guide you through finding specific settings or tools within the dashboard.

  • Example: ask “Where can I find tax settings?” And PayFit Copilot will take you there.

Common Questions to Try with PayFit Copilot

To start using PayFit Copilot, here are some sample questions:

  • “How do I add a new employee?”

  • “What is the process for submitting payroll?”

  • “Can you explain statutory maternity leave?”

  • “How do I access my payslip history?”

  • "Please explain how the remaining annual leave is calculated for John?"

    Example - "I don't understand, Bernard's time off balance seems wrong based on the vacations he took before. Can you check and explain it to me?"

If Copilot has access to Bernard's annual leave history and his current time off balance, it could answer : Bernard has taken 5 days of vacation this year (March 3-5 and June 12-13). His current balance is 12 days, which matches the company policy and the vacations he took. If you see a discrepancy, let me know the specific dates and I can investigate further.

What PayFit Copilot can’t do (yet)?

PayFit Copilot can answer many questions very quickly. However, it doesn’t replace our Customer service team, who are still here to help you. For complex payroll or HR questions, or if you’re unsure about PayFit Copilot’s answers, please reach out to our team.

When discussing with PayFit Copilot, remember:

  • While it can answer many questions, it can’t make changes in the app for you. Contact our Customer service team if you need help with actions.

  • PayFit Copilot can’t give legal advice or guidance. Always double-check important or legal information. Check our general terms of sales for more information.

Privacy & Security considerations

At PayFit, keeping your data safe is our top priority. You should know that:

  • We do not train our AI with your conversations.

  • All information you share with PayFit Copilot stays private and secure. We never share it with other AI systems or external companies.

  • If a company has more than one admin, the conversation will stay private only for the admin asking the questions.
