HR features: Onboarding questionnaire

In addition to managing your payroll in PayFit, you can also make use of our HR features, combining HR and Payroll in one platform. The module is available on our Standard and Premium plan and includes the following features;

  • Create a smoother experience for new employees by creating an onboarding questionnaire to gather employee information.

  • Allow employees to manage their leaves from their employee space.

  • Create your org chart and make it visible to only admins, or employees too.

  • Allow access for employees and managers to document their regular 1:1 reviews.

  • Create workflows for indirect managers to receive requests to approve leaves, expenses and time-tracking when the employee's usual manager isn't available.

What is an onboarding questionnaire?

Instead of dealing with back and forth emails to ask new hires to provide essential information for their on-boarding, you can set up questions and document requirements for the employee to answer in their PayFit account. Admins can create a questionnaire personalised to your company needs and capture all required information and documents in PayFit.

Feature overview: Onboarding questionnaire

✅ Admins can set up questions for employees to answer - these can be set to answer with a multiple choice, date, or text.

✅ Admins can choose the type of document that the employee needs to upload.

✅ Admins can choose whether to send the questionnaire to all employees on PayFit or just to new starters.

✅ Admins can track the progress of employees' answers and send reminder emails if needed.

✅ Employees can access their onboarding questionnaire in their employee space.

✅ Employee answers are stored in PayFit and can be accessed by the admin at any time.

❌ Admins aren't able to set up onboarding questionnaires that are bespoke for each employee - the company template will be sent to all employees and/or starters as specified.

❌ Admins cannot add extra Document categories to the onboarding questionnaire- the only options are ID, Criminal Record, Driving License and Diploma.

Create an onboarding questionnaire

To create a new onboarding questionnaire:

  1. From the left, choose My team, then Onboarding questionnaire.

  2. Click Edit to start the questionnaire.

  3. Click Add a question, choose the type of answer you'd like to the question, then click Add.

  4. Enter the question and answer details, then repeat steps 2-4 to add more questions.

  5. To add a request for an employee to submit a document, click Add a document.

  6. Select the type of document the employee should provide, then click Add.

  7. Add as many questions or documents as you'd like, then when you're ready, click Save and publish.

  8. Choose whether you'd like to share the on-boarding questionnaire with new hires only, or all existing employees.

  9. Click Publish.

Tracking employee responses

To see which employees have completed their onboarding questionnaire:

  1. From the left, choose My team, then Onboarding questionnaire.

  2. Under the Employees' answers section, you'll see the progress of each employee.

  3. You can use the Actions (...) button to Edit line or Remind by email if they haven't completed their responses.

You'll find any uploaded documents in your admin account within the documents section. For more information, please refer to our Help Centre article.

What does the employee see in their employee space?

When your employees log into their employee space, they'll see the onboarding questionnaire on the dashboard. They can drag and drop the relevant documents, or answer the questions, on this page.
